1. Skills, Knowledge and Attributes
Workers First Union exists to strengthen workers’ power to organise for decent work and decent lives for themselves and their families, and to combat the growing inequality and poverty in
society. To be effective in our workplace your personal values must align. Required:
- Be understanding of and have respect for different cultures.
- A high level of written, verbal and non-verbal communication skills.
- The ability to network with others confidently.
- Proven experience in running successful events and education courses.
- Computer/IT/communications technology literacy, and in particular Xero, Microsoft 365 (Outlook, Word, SharePoint, Teams, Excel) and video conferencing (Zoom).
- Working knowledge of relevant health and safety requirements, particularly concerning traveling, venues, contractors and managing large groups of people.
- Ability to work in an environment where confidentiality is a requirement.
- A general interest in industrial relations & social justice.
Useful, but not a requirement:
- A relevant formal qualification is desirable but not essential if experience and skills are appropriate
- Knowledge and understanding of current social media platforms
- A current driver’s licence
- Any existing or past involvement in the union movement or other activist organisation will be considered an advantage
2. Primary Objectives
- Provide administrative support to the Regional Organising Director – Central
- Provide administrative support to Central Region organisers and their branch offices
- Responsible for organising meetings and events, particularly Central Region delegates education courses, regional industrial staff meetings, delegates meetings, industry councils and conferences.
- Make a positive contribution to Workers First Union’s administration including keeping our membership database accurate and up to date.
- Contribute to the work of Workers First Union to meet its strategic goals, including the support of our strategic partners, associates, and interest groups.
3. Specific Responsibilities
3.1. Support Central Region staff:
- Fulfilling any reasonable work requests from the Regional Organising Director – Central
- Assisting all other staff with administrative matters to the best of your abilities and within priorities set by the Regional Organising Director – Central.
- Assisting with the preparation for and smooth running of industrial meetings and events – for example: Stop Work Meetings, Delegates Forums, Biennial & Regional Conferences, bargaining claims and ratification meetings.
- Attending industrial staff meetings when required and taking minutes.
- Being a contact point for delegates
- Being aware of industrial staff whereabouts
- Meeting and greeting visitors and delegations
- Oversee the smooth running of Workers First Union’s office in Wellington
- Other examples:
Assisting with industrial matters and contributing to our industrial work where your skills allow.
Arranging travel, accommodation, and other bookings/appointments for the Leadership team, Regional Organising Directors and/or organisers in accordance with Workers First Union’s procedures
Ensuring the Regional Organising Director – Central’s administrative obligations are met – e.g., FBT receipts, monthly credit card statements, leave applications
Coordinating with the Comms team to organise member out-reach and surveys, and collating responses.
Generating formal letters, typing-up minutes, documents (e.g. CEA’s), briefing papers and reports – in Word and PDF formats
Producing basic site posters and meeting notices
Updating membership and employer records in the database and generating reports/extracting data for industrial staff use
Dealing with incoming mail, email, and calls to the office, including prioritising inwards mail for staff that are absent and ensuring that any urgent matters are actioned or redirected.
3.3. Workers First Union’s Education Programme and other Events and Meetings
- Work with the Union’s education team and programme coordinator to run Central Region delegates’ education courses, using the course administration software, adhering to all procedures, and meeting all deadlines
- Communicate regularly with the course facilitators regarding equipment, resources, venues, and attendances so as to ensure a successful outcome; course participants; and service suppliers
- For the delivery of our education programme and other events this will include: Inviting attendees following correct protocol
Notifications to employers that meet all legal requirements for Employment Related Education Leave (EREL)
Ensuring participants have all the required resources before they attend
Booking the venue or venues, catering, transport & accommodation for all participants (if required) and equipment
Oversee the running of the event
Dealing with enquiries and administration relating to the event
3.4. Health & Safety
- Be part of the induction of all new employees, or contactors who will be working in the union’s workplaces, in order to discuss H&S.
- Be familiar with our Health and Safety Manual & Policy, plans, procedures and guidelines and participate in the review of such documents and the development of new ones
- Encourage positive H&S practices in the workplace
- Maintain confidentiality on any personal information obtained in the course of performing their duties
- Participate in any H&S audits or inspections if required
3.5. Administration
- Bank and Credit Card reconciliation
- Responsible for Regional office petty cash, making sure receipts support all payments.
- Monitor and maintain all office supplies (stationery, computer and photocopier consumables).
- Check accounts payable for approved expenditure, providing any details that will assist with the expenditure being coded correctly. Forward to national office for payment
within agreed timeframes.
- Check and process staff and delegates’ expenses reimbursements in accordance with union policy.
- Check delegates claims for wages reimbursements, ensuring that they are correctly completed with all necessary information, including authorisation by the relevant organiser. Forward to national office for payment.
- Be willing to help-out when available to ensure the union continues to run smoothly, particularly when other admin staff are absent.
3.6. Strategic
- Have a good understanding of Workers First Union’s Strategic Plan and our overall aims and objectives
- Know who are our key personnel in all Regions, and strategic contacts in other organisations
- Know the contents and priorities of the region’s Annual Plans
- Assist with the administration work of the Union’s strategic partners, associates, and interest groups
3.7. General
- Act consistently with our Staff Kaupapa that values teamwork, comradeship, accountability & safety
- Abide by Health & Safety requirements
- Participate in training, development and staff meetings
- Work within the parameters of Workers First Union’s office routine, and carry out any other duties consistent with the position
