Workers First | Finance Administrator | Auckland

About the Role:

▪ To provide a high level of financial assistance to the union within agreed parameters.
▪ To take day-to-day responsibility for the Workers First general ledger, creditors and debtors ledgers.
▪ To be sufficiently conversant with agreed key tasks so the finance office continues to run smoothly when the finance Team Leader is absent.
▪ The Finance Administrator reports to the Finance Team Leader.

Responsibilities:

General Ledger

▪Responsibility for Workers First general ledger data entry up to the point of computerised bank reconciliations – input to be undertaken progressively throughout the month, so month end balancing deadlines are met (10 working days after month end).
▪In case of absence of finance team leader, be conversant with all month end procedures including preparing and actioning all relevant journal entries and correcting computer errors.

Creditors’ Ledger

▪Assist Finance leader to maintain the Workers First creditors’ ledger. This includes processing accounts for payment, obtaining authorisation, drawing cheques or direct credits via Internet Banking. Accounts payable preparation to be commenced within a timeframe that ensures the union can make payment in accordance with normal business practice (begin preparation 15th monthly to ensure 20th month payment).
▪Identify and action matters requiring follow up, including liaison with regional staff.
▪Implement a reminder procedure to ensure accounts payable nationally are submitted to national office within agreed time frames.

Debtors Ledger

▪Maintain Workers First debtor’s ledger ensuring all on charging is regularly undertaken as soon after the expense is incurred as practicable. Follow up to ensure payments are received on time so the Workers First does not carry any unnecessary debt.

Payroll/Expenses reimbursement – Staff & Delegates

▪Administration of the centralised payroll, including monitoring and processing annual increments and other authorised adjustments nationally in accordance with established procedures.
▪Be conversant with the staff collective employment contracts as they relate to remuneration related entitlements (e.g. entitlements affecting pay, allowances, parental leave etc.)
▪Process delegates’ payments for lost wages Thursday each week ensuring before processing dates all payroll details have been received from the delegates. Process staff expenses claims on Thursday (weekly). Send remittance advice or payslips to staff & delegates as confirmation of payment.
▪At regular intervals the Senior Finance Administrator to process payroll (as a means of remaining familiar with procedures).
▪Administration of PAYE, superannuation, health insurance and union fees. Liaise with providers as required.

General

▪Keep the Finance Team Leader appraised of any workload difficulties which could affect meeting deadlines associated with IRD time-frames, 20th of the month accounts and the provision of timely financial information for the union’s management so that remedial action can be taken.
▪Generate own correspondence relating to responsibilities.
▪Have sufficient understanding of the hardware and software used in the finance section so they are used to their potential. In the event of hardware and/or software failure be able to apply basic troubleshooting procedures prior to calling on the systems administrator or external specialists.
▪In conjunction with the Finance Team Leader identify opportunities for improving the efficiency of the finance section through streamlining procedures, increased computerisation and staff training.
▪Work within the parameters of the union’s administrative routine and carry out any other duties consistent with the finance administrator position.
